Overview We are seeking a highly motivated and detail-oriented Event/Activation specialist to join our team. This role is responsible for the planning, execution, and wrap-up of various events, including virtual, hybrid, and in-person experiences. The ideal candidate will have strong project management skills, exceptional communication abilities, and a passion for creating engaging and successful events. Responsibilities Event Planning and Management Manage all aspects of event planning, including venue sourcing, vendor negotiation, contract management, and budget tracking. Develop comprehensive project plans and timelines to ensure all deadlines are met. Secure and manage event speakers, content, and presentations. Coordinate event logistics, including A/V, catering, registration, and transportation. Serve as the main point of contact for external vendors and internal stakeholders throughout the planning process. Own end-to-end management of 5-10 events per year, ranging from small workshops to large conferences. Marketing and Communication Collaborate with the Marketing team to develop promotional materials and communication strategies for events. Develop clear and engaging communications for attendees, speakers, and internal teams. Manage event registration platforms and attendee databases. On-Site/Virtual Execution Oversee all event execution, including setup, live management, and teardown/wrap-up. Ensure a seamless and positive experience for all attendees and participants. Manage on-site event staff and volunteers. Troubleshoot issues and adapt to unexpected changes quickly and effectively. Post-Event Analysis Gather and analyze event metrics and feedback to measure success and identify areas for improvement. Conduct post-event reconciliation and reporting, including budget analysis. Maintain an organized repository of all event-related documents, including contracts and final reports. Qualifications Required Skills and Experience 3+ years of experience in event management, event marketing, or a related field. Proven ability to manage multiple complex projects simultaneously under tight deadlines. Strong vendor management and negotiation skills. Excellent written and verbal communication skills. Demonstrated experience managing event budgets. Preferred Skills Experience with both virtual and in-person events. Bachelor's degree in Marketing, Communications, Hospitality, or a related field. Experience in brand experience, marketing, or event management Strong creative thinking with a flair for design and experiential concepts Excellent writing and presentation skills for proposals Proven ability to manage events and campaigns efficiently Occasional extended hours and weekend commitment is required.
